Once you have results from a search, you have a few options as to how to get them to your customers and clients via the "Email" button in the toolbar.. This page covers how to manually email results. If you'd like to learn how to set up auto-emails for the Collab Center, click here.

EMAIL OPTIONS

Hyperlink is the default selection for emailing. This will provide a link in the body of an email. It is a live link, meaning changes that are made to the listing, such as a price or status change, will be reflected to the recipient. Additionally, the recipient will be able to view all of the photos and use the public action icons, such as the Map and Documents.

Step 1: Select Report View(s)

  • From results, select listings to email, then click "Email."
  • Hyperlink is selected by default.
  • Notice there is a report selected for you. This is the default selection, which can be changed in Preferences if there is another report you use most often and would prefer for your default.
  • Multiple report views can be emailed by selecting them from the list of "Available Reports." Double-click the report and it will be added to the "Selected Reports.

Step 2: Send Email

  • Once you have finished selecting reports, click "Compose Email."
  • This opens an email with the hyperlink populated. Add any text into the message body and enter the recipient.
  • Click "Send."

Note: Recipients viewing your email on their computer will see exactly the report(s) you selected. Recipients viewing your email on a mobile device will see a mobile friendly view known as CollabLink.

CollabLink is a mobile friendly report view for emailing, but is viewable on any device, including laptops and desktops. It is a live view, meaning changes that are made to the listing, such as a price or status change, will be reflected to the recipient. It also includes multiple view options, the map view, and the street view (where applicable), as well as all photos and any public documents. Plus, it includes your photo and contact information!

Step 1: Click Email

  • From results, select listings to email, then click "Email."
  • Choose Collablink.

Step 2: Send Email

  • Click "Compose Email."
  • This opens an email with the hyperlink populated. Add any text into the message body and enter the recipient.
  • Click "Send."

PDF Attachment

Sending as a PDF attachment is a less frequently used email option, due to the fact that many recipients are cautious regarding opening attachments from emails. Additionally, the attachment is a stagnant document; if changes happen to a listing, the recipient will not see the updated information, nor will they have access to all the photos (you would have to send them separately) or the map and documents.

Step 1: Click Email

  • From results, select listings to email, then click "Email."

  • Choose PDF Attachment

  • Notice there is a report selected for you. This is the default selection, which can be changed in Preferences if there is another report you use most often and would prefer for your default.

  • Multiple report views can be emailed by selecting them from the list of "Available Reports." Double-click the report and it will be added to the "Selected Reports.

  • Notice that attachments are limited to 20 pages. Check the "Estimated Pages" column to confirm how many pages you have in the attachment.

Step 2: Send Email

  • Click "Compose Email."

  • This opens an email with the attachment included. Add any text into the message body and enter the recipient.

  • Click "Send."

Insert Into Body

This option is limited to spreadsheets and inserts the spreadsheet directly into the body of the email. Keep in mind while you have interactive capabilities on the spreadsheet, the recipient will not. All pictures will not be accessible, nor will the actions (like Documents, Map, etc).

Step 1: Click Email

  • From results, select listings to email, then click "Email."

  • Choose Insert Into Body

  • Select one of the spreadsheet views

Step 2: Send Email

  • Click "Compose Email."

  • This opens an email with the spreadsheet included in the body. Add any text into the message body and enter the recipient.

  • Click "Send."
